Transcripts

Please carefully read the information below before ordering your transcript.

Official transcripts cannot be released if a financial or administrative hold exists. If you have a hold on your account, you must resolve the hold and place a new order.

Once you place your order it cannot be canceled and refunds are not issued. Please check the recipient mailing/email address for accuracy before submitting your order.

Ordering Information

  •   There is a $9.40 fee per transcript ($8.00 plus a $1.40 secure electronic PDF fee).
  •  WSCO does not provide unofficial transcripts. All transcripts ordered through the Records Office are official.
  •  Your transcript will be issued under the legal name that we have in our system. You must complete a Change of Name form and provide documentation of a legal name change to have your current legal name on your transcript.
  •  You MUST specify if you want your transcript request held until grades are posted for that term, otherwise the transcript will be processed as soon as possible.
  •  The electronic transcript will be sent as a PDF. Your recipient will receive an email that contains a link to securely download your transcript. The electronic transcript is not sent as an email attachment.
  •  Forms to be included with transcripts can be uploaded during the ordering process, and are subject to review and approval. Acceptable attachments include CASPA, PTCAS, AMCAS, etc. Unacceptable attachments, which will not be sent with your order, include resumes, cover letters, recommendation letters, or transcripts/documents issued by other institutions.

Transfer Credit to WSCO from Another College

Procedure to Transfer Credit from another institution to Washington State College of Ohio

  • To begin the process of transferring credit from other institutions, first, you need to complete an Application for Admission to WSCO. There is no charge to apply, and you can complete the Application in person or online here.
  • Next, contact each college and/or university that you have attended and request an official transcript. An official transcript must be sent directly to us from the sending institution.

  • Transcripts are evaluated course by course based on the catalog description from the term the course(s) were taken.
  • Transfer credit will be accepted for successfully completed college-level courses from institutions of higher education which are accredited by the Higher Learning Commission or other regional accrediting commissions recognized by the Council on Higher Education Accreditation (CHEA).
  • Please allow 4-6 weeks for the transfer process to be completed. You will receive a letter informing you of the transferred courses.
Transfer Credit from WSCO to Another College

You will need to submit a request to have your official WSCO transcript sent to your new institution. Please follow the instructions for requesting a transcript from the WSCO Records Office. It is important to keep in mind that most institutions will not accept a hand-delivered transcript that has been issued to the student. Be sure to ask the receiving institution for clarification on their transcript requirements to ensure acceptance. If you provided a transcript as part of the application process to your new institution before your final semester at WSCO, please remember to also submit an official WSCO transcript after your final term concludes so all of your credit can be evaluated for transfer.

Selective Service

Selective Service registration Federal law requires most males living in the United States between the ages of 18 and 26 to be registered with the Selective Service System. Students who are required to register and have not done so are ineligible for various federal and state aid programs and are charged the non-Ohio resident tuition.

If you are an Ohio resident and are being charged non-resident fees, it is likely your selective service registration number is not on file with the college. Once you submit your number, the non-residence charge will be removed.

Males can register with Selective Service within 30 days of their 18th birthday at www.sss.gov or any U.S. post office.

Graduation

What is the difference between graduation and commencement?

Graduation – when a student is awarded a degree or certificate once they have satisfied all requirements. Students do not officially graduate until all grades have been entered in their last attending semester. Upon verification from the Records Office, a diploma will be mailed to the summer and fall graduates. Spring graduates will receive their diplomas at commencement or in the mail, depending upon attendance at the ceremony.

Commencement – a ceremony that allows students, family, and friends to celebrate the student's academic accomplishments. Participation in the ceremony does not necessarily mean the student has graduated.

Steps to Graduate

  1. Prior to graduation, make sure your program of study is declared with the Records Office. We cannot graduate you in a program that you have not declared.
  2. Complete the requirements outlined in your degree audit and catalog.
    1. It is important to meet regularly with your Advisor to ensure you are staying on track.
    2. If you have attended a previous college or university, be sure to send your transcript(s) to the WSCO Records Office in your first term to allow for accurate timing of transferring applicable credit.
  3. Degree Evaluation – during your final semester of your program of study, the Records Office and your Advisor will review your academic history to confirm all requirements have been met. If applicable, your advisor will submit any necessary course substitutions.

You will receive communication via your WSCO email confirming that you are eligible to graduate at the end of your last semester. This email will include information about submitting your request to participate in the Commencement Ceremony, regalia orders, and a survey to complete.

Commencement Details

WSCO designates one day in May for commencement. Details regarding the ceremony will be distributed via your WSCO email address when you have been recognized as an eligible graduation candidate.

Spring Graduates – Spring graduates are eligible to participate in the spring commencement at the end of the completed term.

Fall Graduates - Fall graduates are eligible to participate in the spring commencement following the completed fall term.

Summer Graduates - Summer graduates are eligible to participate in the spring commencement following the completed summer term.

Health Sciences Graduates – Some areas of Health Sciences hold individual ceremonies that the Health Sciences division organizes. Graduates are welcome and encouraged to participate in the spring commencement in addition to their individual ceremonies.

FERPA

The Family Educational Rights and Privacy Act (FERPA) is a Federal Law that protects the privacy of student education records, including financial, academic and/or advising records. For the student’s protection, FERPA limits release of student record information without the student’s explicit written consent.

Washington State College of Ohio is committed to maintaining the confidentiality of student records and abides by Public Law 98-380, The Family Educational Rights and Privacy Act of 1974, as amended, and is permitted to release “directory information” without specific permission from the student.

Regardless of a student’s age, they are protected under FERPA upon attendance at WSCO. For more information regarding FERPA, refer to our annual notification here.

Restriction of Disclosure of Directory Information

Washington State College of Ohio may disclose on an unlimited basis information that has been designated as “Directory Information” in response to oral or written requests without the student’s consent:

  • Student’s name
  • Address
  • Telephone listing
  • Electronic mailing address
  • Photograph
  • Date and place of birth
  • Major field of study
  • Enrollment Status (i.e. full-time or part-time)
  • Participation in officially recognized activities
  • Dates of attendance
  • Degrees, honors, and awards received
  • The most recent educational agency or institution attended
  • Grade level

If you wish to restrict this information from being released, please complete the Restriction of Disclosure of Directory Information form and submit it to the Records Office.

FERPA Release

To release your academic record to a specific individual, please complete the Family Educational Rights and Privacy Act (FERPA) Release/Revocation Form by logging in to Student Planning through my.wscc.edu and selecting the form from the Academics drop-down menu. You may also stop by the Student OneStop Center to fill out the form in person.

Parent/Guardian Verification of Student Dependent Status

Parent(s) or guardian(s) have the right to review a student’s educational record if the parent(s) or guardian(s) claim the student as a dependent on their Federal Income Tax Return. If you are a parent(s) or guardian(s) who claims a WSCO student on your Federal Income Tax Return, and wish to access their educational records, please complete the Parent/Guardian Verification of Student Dependent Status and submit it to the Records Office. Please note that copies of your Federal Tax Returns need to accompany the form, and will need re-submitted on an annual basis.
