The Records Office at Washington State Community College will help you register for classes, add and drop classes, apply for graduation, order transcripts and so much more. The Records Office is located in the Main Building.

TRANSCRIPTS

Special Notes:

  • There is a $15 fee per transcript.
  • Washington State Community College does not provide unofficial transcripts. All transcripts ordered through the Records Office are official.
  • Your transcripts will be issued under the legal name that we have in our system. You must complete a Change of Name form and provide proper documentation of a legal name change to have your current legal name on your transcript.
  • You MUST specify if you request to have your transcript request held until grades are posted for that term, otherwise the transcript will be processed and mailed as soon as possible.
  • Many institutions will not accept a hand-delivered transcript that has been issued to the student. It is your responsibility to check with the receiving institution to ensure acceptance.
  • We cannot email transcripts.

Are you a current or recently enrolled student?

If you are currently enrolled at WSCC (or were recently enrolled – less than a year ago) and wish to have a transcript of your course work from WSCC sent to another institution, or to a prospective employer, you must submit a request to the Records Office, or order the transcript(s) via WebAdvisor.

WebAdvisor Instructions:

  1. Log into WebAdvisor

  2. Along the left side, under Academic Profile, select "Transcript Request" and complete the necessary information.

  3. Payment will be made via credit card. Please note that requests will not be processed until payment is completed.

Procedure to Transfer Credit from another institution to Washington State Community College

To begin the process of transferring credit from other institutions, you must first complete an Application for Admission to WSCC. There is no charge to apply, and you can complete the Application in person or online here.

Next, contact each college and/or university that you attended and request an official transcript. An official copy must be sent directly from the sending institution. Electronic transcripts via the Articulation & Transfer Clearinghouse (ATC) are also acceptable.

Transcripts are evaluated course by course based on the catalog description from the term the course(s) were taken.

Transfer credit will be accepted for successfully completed college-level courses from institutions of higher education which are accredited by the Higher Learning Commission or other regional accrediting commissions recognized by the Council on Higher Education Accreditation (CHEA).

Please allow 4-6 weeks for the transfer process to be completed. You will receive a letter informing you of the transferred courses.

Selective Service

Selective Service registration Federal law requires most males living in the United States between the ages of 18 and 26 to be registered with the Selective Service System. Students who are required to register and have not done so are ineligible for various federal and state aid programs and are charged the non-Ohio resident tuition.

If you are an Ohio resident and are being charged non-resident fees, it is likely your selective service registration number is not on file with the college. Once you submit your number, the non-residence charge will be removed.

Males can register with Selective Service within 30 days of their 18th birthday at www.sss.gov or any U.S. post office.

What is the difference between graduation and commencement?

Graduation – when a student is awarded a degree or certificate once they have satisfied all requirements. Students do not officially graduate until all grades have been entered in their last attending semester. Upon verification from the Records Office, a diploma will be mailed to the graduate.

Commencement – a ceremony that allows students, family, and friends to celebrate the student's academic accomplishments. Participation in the ceremony does not mean the student has graduated (because final grades aren't due until after the ceremony date). Students do not receive their diploma at the ceremony – it will be mailed to the graduate upon verification of satisfied requirements.

Steps to Graduate

Students at Washington State Community College will automatically be awarded degrees and/or certificates upon completion of requirements for the student's recorded program of study. If you do not wish to be automatically awarded a degree and/or certificate, you will need to email the Records Office at This email address is being protected from spambots. You need JavaScript enabled to view it. prior to your last term. Multiple credentials may be automatically awarded within a student's program of study.

  1. Prior to graduation, ensure that your program of study is declared with the Records Office. We cannot graduate you in a program that you have not declared.

  2. Complete requirements outlined in your degree audit and catalog.

    1. It is important to meet regularly with your Advisor to ensure you are staying on track.

    2. If you have attended a previous college or university, you will want to send your transcript(s) to the WSCC Records Office in your first term attending to allow for accurate timing of transferring any applicable credit.

  3. Degree Evaluation – during your final semester of your program of study, the Records Office and your Advisor will review your academic history to confirm all requirements have been met. Your Advisor will submit any necessary course substitutions, if applicable.

You will receive an email via your WSCC email confirming that you are eligible to graduate at the end of your last semester. This email will include information about submitting your request to participate in the Commencement Ceremony and a survey to complete.

Please note that diplomas will not be mailed until after grades have been submitted for the term, and the Records Office has verified that you have satisfied your degree requirements. Students do not receive their diploma at the commencement ceremony.

Commencement Details

WSCC has one all-college commencement ceremony at the end of each spring semester. Details regarding each commencement ceremony will be distributed via your Washington State Community College email address when you have been recognized as an eligible graduation candidate.

  • Spring Graduates – Graduates for each spring semester are eligible to participate in the all-college spring commencement ceremony at the end of the completed term.
  • Fall Graduates - There is a Reception for fall graduates at the end of the fall term. Fall term graduates are eligible to walk in the all-college commencement ceremony at the end of the following spring term in addition to their Reception, if desired.
  • Summer Graduates - There is no Commencement ceremony or Reception specifically for summer graduates. Summer graduates are eligible to participate in the all-college commencement ceremony closest to their term of completion.
  • Health Sciences Graduates – The areas of Health Sciences hold individual pinning ceremonies at the end of each semester. These ceremonies are organized by the Health Sciences division. Graduates of a Health Sciences program are welcome to participate in the all-college commencement at the end of the spring term in addition to their pinning, if desired.
